Envision Racing is a UK-based Formula E team competing in the FIA Formula E World Championship. With a proven track record of success and a commitment to innovation and sustainability, we are looking for a Team & Travel Coordinator to join our team and contribute to our pursuit of performance at the highest level of electric motorsport. TEAM & TRAVEL COORDINATOR

Travel & Logistics Coordination

  • Arranging Travel: Manage all travel logistics, including booking flights, hotels, ground transportation, and transfers for the team. This includes coordinating travel for race events, testing events, and marketing and commercial events / meetings.
  • Onsite Transport Management: Oversee transport arrangements at event locations, ensuring smooth transitions for team members between airports, hotels, and venues. Address any last-minute travel changes or challenges.
  • Travel Documentation & Compliance: Ensure all necessary travel documents, visas, and itineraries are prepared and shared before the event.
  • Sustainable Travel: Help The Sustainability Team make team travel as sustainable as possible by exploring eco-friendly transport options, such as direct flights and electric vehicles where possible, promoting ride-sharing, staying walking distance from track where possible.

Team Kit & Driver Kit Management

  • Kit Orders & Inventory: Work closely with the Partnerships Business Manager to coordinate kit orders for the team. Maintain and manage kit inventory at Silverstone.
  • Team Allocation: Ensure all team members receive the correct kit allocation in line with their role.
  • Driver Kit Management: Ensure driver kit is prepared for each event; onsite management of kit in the driver shack during the race week.

Garage & Guest Management

  • Team Orders: Coordinate and manage garage provisions, such as catering and garage equipment.
  • Garage Support: Help to maintain a clean and functional working environment in the back of the garage throughout the event. Support the pack-up of the team garage at race events.
  • Guest Hospitality & Management: Assist with hosting guests in the garage, ensuring they have a great experience. Coordinate with the commercial team to manage pit lane walks and garage tours efficiently.
  • Accreditation & Access Coordination: Organise accreditation for the team and guests (where necessary), ensuring all passes are allocated correctly. Work with FE Accreditation Team to manage access permissions and resolve any accreditation issues onsite.

New Starter Onboarding Support

  • Onboarding Administration: Send out onboarding documents and welcome materials to new team members.
  • IT & Equipment Setup: Work with the IT Infrastructure Engineer to coordinate IT requirements for new starters.
  • Kit Collection: Organise team kit pickup for new employees, and coordinate the kit distribution day at the beginning of the new season.

Event Preparation & Support

  • General Event Support: Provide on-site assistance during key events.

Carbon Audit Support

  • Emission Data Collection: Assist in tracking and compiling travel-related emissions data for the team’s carbon audit.
  • Continuous Improvement: Identify and suggest ways to reduce the team’s travel carbon footprint, aligning with best practices in sustainable travel.

 

This position is based in Silverstone 2 – 3 times a week, in our purpose built workshop with free onsite parking, an onsite gym, and access to peaceful woodland surroundings. The candidate will also have access to our London Office, and the ability to work from home. The position requires flexibility and a willingness to travel regularly.
